The Right Tech Tools + A VA: Real Estate Case Study

Here's how one CyberStar(tm) Combines One Tech Tool & A Virtual Assistant to increase her business.

Here’s a great example of using a VA (Virtual Assistant) and today’s technology to lighten your work load…and make more money! It comes courtesy of Allen F. Hainge CyberStar(tm) Linda DeVlieg, Coldwell Banker Legacy, Albuquerque, NM.

"I never have to fax anything to my VA- here’s how it works. I use eFax. eFax is on my computer, so I have the ability to tell eFax where to send the faxes. eFax gives me the ability to send/receive faxes from my computer.  I can send a fax to an individual or to multiple people, so every person on my team gets a copy of every fax that comes in. Once we are underway in a transaction, I bundle up the contract and send email to my VA with selling agent/listing agent information, title company information, etc. She runs with it.

I never touch a fax again.

"She calls clients, vendors, mortgage companies, anyone involved in the transaction. I can’t imagine there is anything that should be done in a transaction on a personal level that she doesn’t accomplish. I am able to monitor everything as it comes in, but she is the problem solver. If there is a 911 on a file, she sends me an email with a flag on it. She manages everything online in Settlement Room and I never have to touch another thing.

I keep combo lockboxes on my listings so that if an appraiser, vendor, carpet cleaner or repair contractor needs access, I just send them over."

Note two things about how Linda uses technology:

  • She uses eFax, saving her time going back and forth to a fax machine
  • She uses a Virtual Assistant to handle her transactions.

A Virtual Assistant is someone who works for you and for other agents, usually on a per hour basis. He/she can maintain your database, take charge of putting your listings on your Web site and into MLS, handle your transactions, run your marketing campaigns and more.
